A question sent in for our recent 'Ask Ken Anything' (AKA) session tackled a common reporting headache: how do you compare hours logged in a project management system against data from time-tracking software? 🕒
@excelguru.ca walked through a solution he built using #PowerQuery and #PowerPivot. 🧵

Turning Durations Into Hours
A student asked how to compare hours logged in a project management system against data from time-tracking software. Ken Puls’ solution used Power Query to clean and transform the data from both sources into a common data type, which could then be more easily compared!
(Screenshot of the Power Query Editor displaying the initial time tracker data in the Screen Time columns as miniscule decimals. The Transform > Duration > Total Hours options from the ribbon are highlighted, which then displays the converted values in Screen Time column.)

Following up on the Monkey Shorts episode shared yesterday, here's our #PowerQuery Recipe card that outlines the steps to number your data by grouped rows. 👩‍🍳 You can get the full collection (over 95 handy recipes!) at skw-t.com/pqrecipes

Pattern Difficulty: Lo Code
Number Grouped Rows Recipe
Initial Preparation
Sort any [Dimension] column(s) to group the data
Sort the [Fact] column -> Descending
	Re-apply the column data types
Group the Data
Go to Transform -> Group -> Advanced
	Group by the [Dimension] column(s)
Add a new column called “Data” -> All Rows
Add Row Numbers
Go to Add Column -> Custom Column
		Name: Custom
		Formula:	=Table.AddIndexColumn([Data], "Index", 1, 1)
Right click the [Custom] column -> Remove Other Columns
	Expand all columns from [Custom]
	Re-order the columns if desired

AKA "number rows by partition" this is a useful recipe to have in your #PowerQuery arsenal. The basic goal is to provide each item in a group with a row number, restarting the numbering at row 1 when we move to the next group. 🔢 With the right recipe, it's very easy: www.youtube.com/watch?v=9ckP...

I just stumbled upon adding comments to #PowerQuery #Mcode and I think my life may be forever changed in yet indiscernible ways.

We heard from European friends that they aren't fans of the N American week numbering systems. 📆 #PowerQuery has a “week number” function but no function to get ISO weeks. Well, our Monkey Tools #Excel add-in will inject a GetISOWeek function.✋ Learn how it works here: mkyt.ca/get-iso-week

Get ISO Week Function
This function allows you to pass in two data points: a date and an optional "precise" choice. These return a properly formatted week number based on the ISO 8601 standard.
(Screenshot of Invoke Custom Function dialog in Power Query with fnGetISOWeek in the query field and the options for setting the column name, the given date, and the optional "precise date format" fields.)

Final takeaway: Take the output of #PowerQuery, feed it back into itself, and build a self-growing forecast history system—just make sure to remove duplicates before appending.
If you work with forecasts, budgets, or projections that change over time, this is a simple but powerful pattern. 👍

These little fellas are a real step forward though.
The "Query" one lets you choose between viewing the whole query formula or just that step. The "Diagram view" lets you see a new interface of the relationships. It's messy but lots more functionality.

Microsoft obligingly providing extra material for this thread by getting rid of the Quick access toolbar in #PowerQuery. Needless vandalism. I'm utterly reliant on using Alt+2 to open the editor window. A slap in the face for those of us trying to take the product seriously.

Screen grab of the – now empty – area where the quick access toolbar used to reside, and a higlight of where I have to click from here on in.

Ooh. The September update of #PowerBI now has icons for each step in #PowerQuery. Looks a bit busy with my use of a ♠ to highlight unstraightforward steps, but that's my issue!
What do you think about this?

Screen grab of the "applied steps" window in Power Query with some example names and the new (and my old) icons showing. "Source" is preceded by a csv icon, Filtered Rows by a filter icon etc.

In this new video, I show the different types of blanks that can show up in #PivotTables built from the #DataModel. 🙃 If you work with #Excel PivotTables, #PowerPivot, #DAX measures, or #PowerQuery, this will help you understand where blanks come from and how to deal with them: youtu.be/fnVUJmHUTwc

#PowerQuery caches preview values inside the file, so the Query Editor and hover cards can show stale results even after Refresh All has loaded fresh data to the worksheet. 🔄 It's even more likely if background data previews have been turned off to speed up large workbooks.

@goatshipmate.bsky.socialSep 28, 2026, 9:34 AM

I knocked up a little system to automatically track the files I've been working on. #AutoHotKey notes down any changes of the active window in a .csv, #PowerQuery tidies it up in #Excel. Not sure if the conditional formatting is a bit much: it's uncouth but useful, I guess.

What a great way to wrap up the week! Today, I'm leading some training for a private client, exploring the awesomeness of #PowerQuery. 😎 If you spend time manually gathering, cleaning, and transforming data, you know how tedious it can be. PQ will change your work forever in #Excel or #PowerBI!

The Classic Excel Answer

Import data -> Make contiguous range -> Sort -> Filter and cull -> Cleanup
Drawbacks:

- Complicated
- Have to re-live it every timeDealing with Data in Modern Excel
Various data types/sources (database, website, files, folders, emails, etc.) -> Rich array of transformation tools in one place -> Load into worksheet + One-click refresh = Smiley face
